Quick answer: total = (labor hours × rate) + (parts qty × unit price) − discount, then add sales tax on that amount. The example above (1.5 hrs at $95/hr plus a $64 brake pad set) comes to $206.50 before tax, $220.96 with 7% sales tax.

How to fill out a mechanic invoice template

    1. Shop details. Your shop name, address, phone and the invoice number — bump it by one each time so your records stay in order.
    2. Customer and vehicle. Name and phone at minimum; plate or VIN and mileage protect both sides if a warranty question comes up later.
    3. Labor lines. One line per job: a short description, the hours, and your rate per hour. Not sure what your rate should be? Our shop labor rate calculator works it out from your actual costs.
    4. Parts lines. One line per part or kit: description, quantity and unit price.
    5. Tax and discount. Enter your local sales tax percentage and any discount before printing.

Word, Excel, or a live calculator?

A "mechanic invoice template word" search usually means one thing: a document you can type numbers into without breaking the layout. This tool does the same job without the file — line items add and remove themselves, the math updates live, and nothing here can turn into a broken formula reference the way a copied Excel row sometimes does. When you're done, print it or save it as a PDF; there's no file format to fight with.

What a mechanic shop invoice should include

    SectionWhy it matters
Invoice number & dateKeeps your own records in order and gives the customer something to reference if they call back.
Shop contact detailsNeeded for the customer's own records, insurance claims, and tax purposes.
Vehicle (year/make/model, plate or VIN)Ties the invoice to a specific car — useful the moment a customer owns more than one, or comes back for a related repair.
Labor & parts, itemizedBuilds trust: a customer who sees hours and parts priced separately is less likely to dispute the total.
Tax, discount, totalThe numbers that actually matter to the person paying.
Warranty termsWritten proof of what's covered avoids arguments if the same part fails a month later.

Not sure what your shop's true costs look like before you set labor prices? Track them for a month or two with our Google Sheets expense tracker.

    When a fill-in-and-print invoice isn't enough anymore

This page is deliberately a one-off tool: it doesn't save anything, doesn't remember your last invoice number, and doesn't know your customers or their vehicles from one visit to the next. That's fine for the odd invoice. It stops being fine once you're writing several a day, need to pull up what a specific vehicle had done six months ago, or want the next invoice number to fill in on its own.

That's the job OwnDesk Auto PRO does. It keeps every customer, vehicle and repair order on file, builds the invoice straight from the repair order and the parts already recorded, and adds digital vehicle inspections and customer e-signature on top — running offline, on your own computer, for a one-time payment.

Running a tire shop or a detailing business instead? The same invoicing logic applies: OwnDesk Tire and OwnDesk Detail cover work orders and invoices built for those trades specifically.

    Frequently asked questions

How do I make an invoice for my auto repair shop?
List your shop's name and contact details, the customer and vehicle, then every labor and parts line with its quantity or hours and its price. Add sales tax if it applies, subtract any discount, and the total is what you collect. This tool fills that template on screen and prints a clean PDF, no software to install.
Is there a free mechanic invoice template I can just fill in?
Yes, the one on this page. Type your shop and customer details, add labor and parts lines, and the total updates as you type. Click "Print / Save as PDF" and your browser's print dialog lets you save it as a PDF or send it straight to a printer.
What should an auto mechanic invoice include?
At minimum: an invoice number and date, your shop's name and contact details, the customer's name, the vehicle (year, make, model and plate or VIN is standard), each labor and parts line with its cost, sales tax if you charge it, and the total due. Warranty terms are worth adding too, so there's no dispute later about what's covered.
Is a mechanic invoice template in Word or Excel better than this?
A Word or Excel template works, but you're retyping totals by hand and formulas break if a cell gets overwritten. This one calculates labor, parts, tax and discount live as you type, and nothing here can accidentally delete a formula. If you already have a Word template you like, this is simply a faster way to get the same result.
Can I use this for a mobile or on-site mechanic business?
Yes — nothing on this page assumes a fixed shop address. Leave the address field for your own contact details, or your customer's address if that's where the work happened, and fill in the vehicle and line items the same way.
Does this save my invoices or remember the next invoice number?
No, and that's deliberate — this is a one-off, fill-and-print tool with no account and no storage. If you need every invoice kept, searchable by customer or vehicle, and the next invoice number filled in automatically, that's exactly what OwnDesk Auto PRO does, built from the repair order and parts already on file.
How do I add sales tax to a mechanic invoice?
Enter your local sales tax rate as a percentage in the "Sales tax" field. It applies to labor and parts combined, after any discount, the same way most auto shops calculate it. Check your state or local rules if labor and parts are taxed differently where you operate.
Can I email this invoice to a customer?
Print it to PDF (choose "Save as PDF" in your browser's print dialog instead of a physical printer) and attach that file to an email. The page itself isn't sent — only the PDF you save from it.
Does this work for tire shops and detailers too?
Yes. The labor and parts lines work the same way for a tire mount-and-balance, a detailing package, or any per-vehicle service — just rename the description lines to match the job.
