What this caregiver management software does

Everything a small agency runs on, in one place.

You get a dashboard, clients, a weekly schedule, timesheets, invoices and staff with their credentials for the whole agency, and for each client a full care record: profile, care team, daily care log, tasks, routines, medications, appointments, wellness, meals, household and transport, expenses, documents, an emergency sheet and a calendar.

It prints eight agency reports and eighteen client reports, and runs in eight themes with your agency name on every printout.

A weekly schedule built for staff scheduling

Caregivers down the side, days across, an Open shifts row for work nobody has covered. Click the + in a cell to add a shift, repeat it for the following weeks, or copy the whole week forward. Filter by client, and print the week.

When you save a shift the app warns you if the caregiver is already booked at that time, has an expired credential, is inactive, or the client is marked Discharged.

Attendance, recorded

Click a shift to clock a caregiver in or out, or to mark it Completed, Late, Missed (no-show), Called out or Cancelled. The dashboard shows attendance over the last 30 days, and the Attendance & No-shows report breaks it down per caregiver.

Timesheets and overtime

Pick any period and see regular hours, overtime hours and total hours per caregiver, plus hours and billable hours per client. Overtime is worked out per Monday to Sunday week for Employees paid hourly, from the threshold and multiplier you set.

The pay figure is an estimate, before taxes, and exports to CSV. It is not payroll.

Invoices from completed shifts

Choose a client and a period. The app takes every completed, billable shift not yet invoiced and prices the hours at the client’s bill rate. Draft, Sent and Paid, with Overdue worked out by itself, and an Invoices Outstanding report with ageing.

Credentials that cannot lapse unnoticed

Record CPR, TB tests, background checks, certificates, driver’s licenses and insurance with an expiry date. The dashboard and the sidebar flag what is expired or about to be, saving a shift warns you if the caregiver has an expired credential, and a Credential Expiry report prints the lot.

A care record for every client

Switch client in the sidebar and every care screen shows that person: medications with refill alerts, appointments, the daily care log with a handoff that writes itself for the next caregiver, tasks, documents with expiry dates and a printable emergency sheet.

Where an agency loses money, honestly

The cost is in what nobody noticed in time.

Caregiver scheduling software cannot promise you a saving, and this page will not invent one. What it can do is keep the numbers that money depends on in one place, so that a gap, an overtime week or an uninvoiced shift shows up while it can still be fixed.

Shifts nobody covered

Open shifts are counted on the sidebar and on the dashboard, and flagged in the alert bar when one falls today or tomorrow. The Open Shifts report prints what is still uncovered.

Overtime before payroll

The schedule marks a caregiver who is over the overtime threshold for the week while you can still move a shift, not after the hours have been worked.

Hours that never got invoiced

The Invoices page shows how many completed hours are not on an invoice yet and roughly what they are worth, and overdue invoices are counted in the sidebar.

What it does not do

No payroll, no Medicaid or insurance billing or EVV, no reminders or texts sent to caregivers, no caregiver log-in and no two people editing at once. It records and prints; it is not medical, legal or payroll advice.

How an agency week runs

From the schedule to the invoice, in four steps.

1

Plan the week

Add shifts for each client, repeat them weekly, and leave a shift open until you find someone. Fix any double-booking or credential warning before you save.

2

Record what happened

Clock caregivers in and out, or mark a shift late, missed or called out. The client’s daily care log and handoff carry the care detail.

3

Close the period

Open Timesheets, check hours and overtime, and export the CSV for your payroll provider.

4

Invoice and collect

Create the invoice from the completed shifts, send it, and mark it paid. Anything late is flagged on the dashboard.

Why small agencies switch

You are not really choosing between two caregiver software packages.

Most caregiver and home care software is rented per caregiver or per client by the month, and the records live on somebody else’s server. A spreadsheet is free, but it cannot warn you about a double-booking or turn completed shifts into an invoice.

This caregiver software is a file you own, with the agency parts built in.

The subscription column is a general description of caregiver software sold by the month, not a claim about any single company — features and pricing differ, so check each site.

OwnDesk Caregiver Agency is single-computer software: it does not sync between devices, send messages, run payroll, bill Medicaid or insurers, or give caregivers a log-in. It is a record-keeping tool, not a medical device and not medical advice.

From payment to your first schedule

Three steps, about two minutes.

1

Pay with card

Checkout runs on Stripe. Your card details never touch this site.

2

Download and open

The link appears the moment payment clears. Double-click the file — it opens in your browser, no install, no internet needed after that.

3

Look around, then start fresh

It opens empty. Settings has a button that fills every screen with a sample agency, and another that removes it. Then add your clients, caregivers and first week of shifts.

Questions

Before you buy.

What is caregiver software?
Caregiver software is the tool a care business or a care team uses to organise who looks after whom: the schedule, the visit records, medications, hours and money. This one is caregiver software for a small home care agency. It keeps your clients, your caregivers, a weekly schedule, attendance, timesheets, invoices and credentials in one offline file, and gives every client their own care record.
What is caregiver management software, and what should it include?
Caregiver management software manages the people who do the caring: who they are, what they are cleared to do, when they work, what they worked and how reliable they are. This one holds a caregiver profile with role, type and pay rate, credentials with expiry dates, a weekly schedule, attendance history, hours and overtime per week, and a Staff & Credentials screen that flags what is expired or about to be.
What is caregiver scheduling software, and is it the same as home care scheduling software?
Yes, the two names describe the same job: showing which caregiver is with which client on which days and hours, and which shifts nobody has covered yet. This one puts the week on a grid with caregivers down the side and an Open shifts row for uncovered work. You can repeat a shift for the following weeks, copy a whole week forward, filter by client and print the week.
Is this caregiver agency software?
It is agency software for a small agency run from one computer, not for a large one. Within that scope it covers the daily work: clients, shifts, attendance, hours, invoices and credentials. It has no caregiver log-ins, no several-schedulers-at-once and no sync, so an agency with many offices, or a team that edits the schedule at the same time, needs a cloud platform instead. One licence covers one business with any number of clients and caregivers.
How does caregiver scheduling software reduce costs?
This one cannot promise a saving, because it depends on how you run today, and this page will not invent a figure. What it does is show the five places where an agency usually loses money, while there is still time to fix them. Shifts nobody covered: open shifts are counted on the dashboard and the sidebar. Overtime before payroll: a caregiver over the weekly threshold is flagged on the schedule while you can still move a shift. Completed hours never invoiced: the Invoices page shows how many are not on an invoice yet and roughly what they are worth. Late payers: invoices past their due date show as Overdue by themselves. Credential gaps: you are warned when you book a caregiver whose credential has expired. It is also a single payment, so there is no monthly software fee per caregiver on top.
How does home care scheduling software reduce caregiver no-shows?
It does not send reminders, texts or alerts to caregivers, so it cannot stop a no-show by itself, and it is better to know that before you buy. What it does is reduce the avoidable ones and make the rest visible, in five ways. It warns you before you save a double-booking, so a caregiver is never scheduled in two places. It warns you about an expired credential, so you do not send someone who should not go. It shows open shifts dashed on the schedule and counts them on the dashboard, so a gap is seen days ahead. It records each shift as Late, Missed (no-show) or Called out, and shows 30-day attendance and an Attendance & No-shows report per caregiver, so you know who is reliable. And when someone does not turn up, the client’s handoff and printable emergency sheet give a stand-in caregiver what they need.
How do I use caregiver scheduling software for staff scheduling?
Add each caregiver with their role, type and pay rate, then add shifts on the weekly grid: pick the client, the day, the start and end time and the caregiver, or leave the caregiver empty to publish an open shift. Repeat the shift weekly for as many weeks as you need, or copy a whole week forward. The row total shows each caregiver’s hours for the week with overtime flagged, and you print the Weekly Schedule to give to the team. Caregivers do not log in, so the schedule reaches them on paper or however you already send it.
What does caregiver software for staff scheduling need to do, and what does this one not do?
At minimum it should show coverage, stop double-booking, track who is cleared to work and count hours. This one does all four. It does not do shift swaps between caregivers, open-shift offers sent to staff, automatic matching of caregiver to client, clock-in from a caregiver’s own phone or messages to staff. The office records the clock in and out times, and the schedule is a tool for the person who does the scheduling.
Is it Medicaid billing software for caregivers in Connecticut?
No. It does not bill Medicaid, Medicare or insurers, submit claims or do electronic visit verification (EVV), and it has no connection to any state system, in Connecticut or anywhere else. Programs that pay for care set their own billing and verification requirements, so check with the program what you must use. What this does give you are the records around the work: attendance and hours per caregiver and per client, and ordinary invoices you print or send yourself to a private payer or a family.
Is it caregiver payroll software?
No. It works out hours from the shifts, adds overtime per Monday to Sunday week for hourly Employees, and shows a pay estimate (hours times pay rate, before taxes) with a CSV export for your payroll provider. It does not calculate taxes or deductions, produce pay stubs or file anything. Check overtime rules for your state with your payroll provider.
How do timesheets and overtime work?
Choose a period and the Timesheets page lists, per caregiver, shifts, regular hours, overtime hours and total hours, plus hours and billable hours per client. Hours come from the clock in and clock out times when both are filled in, otherwise from the scheduled times, and only Completed and Late shifts count. The overtime threshold and multiplier are set in Settings.
How do invoices work?
Pick a client and a period and the app takes every completed, billable shift not yet on an invoice and prices the hours at the client’s bill rate, or your default rate. Each invoice carries a number and a due date from your payment terms, moves from Draft to Sent to Paid, shows as Overdue by itself once it is past due, and prints on your agency letterhead. An Invoices Outstanding report shows the ageing.
Does it keep client care records?
Yes. Each client has their own care record: care profile, care team, daily care log with a handoff summary for the next caregiver, tasks, routines, medications with refill alerts, appointments, wellness log, meals and hydration, household and transport, expenses, documents and a printable emergency sheet. It organises what you type in. It is not a medical device and gives no medical advice or dosage guidance.
Is it HIPAA compliant?
No software makes a business compliant on its own, and this one does not claim to. Records stay in the browser on your own computer and nothing is uploaded anywhere. A privacy PIN puts a lock screen in front of them, but it is a screen lock, not encryption. If you hold health information about clients you are responsible for how that computer is secured and what the law requires of you.
How much does caregiver scheduling software cost?
Caregiver and home care software is usually sold as a monthly subscription, and the price depends on the company, the plan and the number of caregivers or clients, so check each site for the current figure. This one is a single payment for the file, with no monthly fee and no per-caregiver or per-client charge.
Can several people use it at the same time?
No, and this is the honest limit worth knowing before you buy. There is no cloud sync and no shared database, so each browser keeps its own copy. Agree on one office computer where everyone enters data, or pass a backup file between computers. Restoring a backup replaces what is in the app, so two copies do not merge. Export a backup every week and keep it somewhere else.
Is there a version for looking after one family member?
Yes. OwnDesk Caregiver is the family edition, for one person’s care at home. This page is about OwnDesk Caregiver Agency, for a business with several clients and caregivers.
