Privacy Policy

This policy explains what personal information OwnDesk collects through theowndesk.com, why, and what you can do about it. OwnDesk is run by Adrian Sanchez, Calle Camelia 19. Las Palmas de Gran Canaria. Spain (“OwnDesk”, “we”, “us”). For anything about your data, write to contact@theowndesk.com.

The short version

  • Your business records stay on your computer. The OwnDesk apps save what you type on your own device. We can’t see it. The one exception is the Team editions that sync between devices (see section 1).
  • Free demos: to open a demo, you give us your name and email. We email you the link and, now and then, news and offers about OwnDesk. Every email has a one-click unsubscribe link.
  • Purchases: we keep what we need to deliver your product, help you and meet our tax obligations.
  • We never sell your personal information and we don’t share our email list with anyone.

1. Data inside the OwnDesk apps and demos

OwnDesk products are single files that run in your browser (or, for OwnDesk Blast, an Android app). The records you type into them are saved by your own browser, on your own device. They are not sent to us.

The online demos work the same way: the sample data and anything you type in a demo stay in your browser. The only thing a demo sends us is the sign-up form described in section 2.

Team editions that sync between devices (currently OwnDesk POS and OwnDesk POS Restaurant): to keep several devices in sync, the records you enter are sent to and stored on a sync server run for OwnDesk on Cloudflare, linked to your licence. We use them only to provide the sync service. They are deleted when you ask us to or when the workspace is closed.

Licence keys: products that use a licence key (such as OwnDesk Blast and the Team editions) check the key with our licence server when you activate it. That check sends the key and basic technical data (such as your IP address), and nothing from your records.

2. Free demos

How the demo sign-up works

Before a demo opens, we ask for your name and email address and you tick one box: “I accept the Privacy Policy and agree to receive the link to this demo. I can unsubscribe at any time.”

  • On a computer or tablet, the demo opens straight away and we also email you the link, so you can come back to it later.
  • On a phone, we recommend opening the demo on a computer or tablet, because OwnDesk is made for a bigger screen, and we email you the link for that. You can still open it on your phone if you prefer.

What we collect

  • Your name and email address.
  • Which demo you asked for, and whether you were on a phone or a computer.
  • When you ticked the box, and the exact wording you agreed to.
  • When you first open the demo link from our email. This tells us the address is real.

We check addresses before sending and don’t accept temporary or throwaway email addresses. To stop abuse, we keep a scrambled version of your IP address (never the address itself) for about an hour, and then it is deleted.

Your browser remembers that you have unlocked the demos (using your browser’s local storage, not a cookie), so you don’t have to fill in the form again. You can clear this at any time by clearing your browser’s site data.

The emails you’ll get

  • The demo link, straight away.
  • Occasional product emails: new OwnDesk products and features, tips for getting more out of them, and offers. Not every day, and only about OwnDesk. We never pass your address to other companies for their own marketing.
  • Unsubscribe at any time with the link at the bottom of every email, or by writing to contact@theowndesk.com. It takes effect straight away. After that we keep only your email address and the date you left, so that we never email you again by mistake.
  • A few follow-up emails in the two weeks after you try a demo, if you haven’t bought yet: tips for getting started, what the software can do for you, answers to common questions and, later, time-limited discount codes. They stop as soon as you buy.

Buying from us doesn’t put you on our email list by itself, and we never add buyers from marketplaces such as Etsy unless they sign up with us directly.

3. Other data we collect on the website

When you buy

Name, email address, the billing details you enter at checkout, what you bought and when. We use this to process the order, send your download or licence key, help you and keep the accounting and tax records the law requires. Payments are processed by Stripe. We never see or store your full card number.

When you contact us

Your name, email address and message, used to answer you.

Reviews

After a purchase you may be offered an optional survey from Google Customer Reviews. If you accept, Google receives your email address and order details to send the survey, under Google’s own privacy policy.

Cookies and similar technologies

The site uses cookies it needs to work: the shopping cart and checkout (WooCommerce), and a cookie that remembers if you switched the site to Spanish. The demos use your browser’s local storage to remember that you unlocked them (see section 2). We also use advertising and analytics tools (Google Ads, Google Analytics, Meta) that set cookies to measure our ads and show our ads to people who visited the site. You can block these in your browser settings without affecting your purchases.

4. Who else handles your data

We share personal data only with the services we need to run OwnDesk, and only for that purpose:

  • Our web host: stores the website, orders and demo sign-ups.
  • Google: we keep a private copy of our demo sign-up list in Google Sheets. Google also runs the optional Customer Reviews survey and, if used, our ads and analytics.
  • Stripe: payment processing.
  • Cloudflare: licence checks and the Team-edition sync service.
  • Our email service provider, if we use one.
  • Tax authorities and advisers, when the law requires it.

Some of these providers are based in the United States or other countries. Where the law requires it, we rely on the standard safeguards those providers offer for international transfers.

5. How long we keep it

  • Demo sign-ups: until you unsubscribe or ask us to delete them. After you unsubscribe, we keep only your email address and the date, so we never email you again by mistake.
  • Orders and invoices: as long as tax and accounting law requires (usually several years).
  • Support emails: as long as needed to help you, and up to 3 years after.

6. Legal basis (for visitors in the EU, UK and similar regions)

  • Your request: giving you access to the demo and sending you the link, answering your messages.
  • Consent: occasional product emails, given when you tick the box on the demo form. You can withdraw it at any time by unsubscribing.
  • Contract: processing your order, delivering the product and supporting it.
  • Legal obligation: tax and accounting records.
  • Legitimate interest: preventing abuse and keeping the site secure.

7. Your rights

You can ask us to show you the personal data we hold about you, correct it, delete it (including the copy in our sign-up list), send it to you in a portable format, or stop emailing you. Write to contact@theowndesk.com and we will answer within 30 days. We may need to confirm it’s really you. If you are in the EU or UK, you can also complain to your data protection authority.

US residents (including California): we do not sell or share your personal information for money, and we use it only as described here. You have the right to know what we collect, to have it deleted and not to be treated differently for asking.

8. Children

OwnDesk is business software for adults. We do not knowingly collect data from anyone under 16.

9. Security

We use HTTPS across the site, keep access to our systems limited and store only what we need. Demo links are signed so they can’t be guessed. No system is perfectly secure, but if a breach ever affected your data, we would tell you and the authorities as the law requires.

10. Changes

If we change this policy, we will update the date at the top. If a change is significant (for example, a new use of your email address), we will tell you by email before it applies.
