What this plumbing estimating software does

Everything a small plumbing company runs on, in one place.

You get a dashboard, a dispatch board, a calendar, reports, leads, estimates, a price book, customers, service plans, jobs and field reports.

It also tracks tasks, change orders, callbacks, permits and inspections, safety, technicians, subcontractors, suppliers, tools and vehicles, and parts and stock.

Invoices, purchase orders, expenses and timesheets are included. You can export to CSV or JSON backup, and the app runs in English and Spanish.

Plumbing estimating from a price book

Set your flat-rate services, parts and fixtures once, each with a cost and a sell price. Choose “Add from price book” on a plumbing estimate and the line lands with your cost and the markup that reaches your sell price.

Tax, cost and gross margin update as you build. The estimate prints on your letterhead with a signature line.

Plumbing takeoff with a waste allowance

Enter 300 ft of PEX and 120 fittings, add a waste percentage, and the takeoff calculator shows the quantity to order, rounded up to whole units.

It then adds the lines to the estimate. It is a quantity takeoff from your own price book; it does not read plans or drawings.

Plumbing scheduling on a dispatch board

One row per technician and one column per day. Every job is a card with its arrival window, marked standard, urgent or emergency.

Click the + in an empty cell to book a job into that slot, and see what is still unassigned. You enter and move the jobs yourself.

Job costing and invoicing

Job price plus approved change orders, minus expenses and technician hours at their rate. Service, deposit, progress, final, change-order and credit-memo invoices, with Paid, Partial and Overdue worked out for you. A 0 to 100 health score flags the jobs going wrong.

Service plans and recurring revenue

Annual inspections, water heater flush plans, backflow test programs and drain care plans, each with a next visit and a renewal date. The dashboard totals your plan revenue per year and lists what renews in the next 30 days.

Permits, callbacks, technicians and stock

Permit numbers and inspection results with an alert on a failed inspection, callbacks and punch lists, technician licence and certification expiry, parts stock with low-stock alerts, and purchase orders that write the cost when they are received.

Plumbing field service and scheduling software, honestly

The business side of a plumbing company, without the monthly fee.

A plumbing company lives out of vans and phone calls. Plumbing company software should keep the jobs, the money and the paperwork straight. It should also tell you where its limits are.

From call to work order

Log the lead, raise the estimate, and turn an accepted one into a job in one click with its price and cost budget carried across. Emergency calls get their own priority so they stand out on the board.

Field reports that print

The technician’s work performed, parts used and findings on one page, printable with a customer signature line, and linked to the job for costing.

Works with no signal

The file runs offline in your browser, on a laptop or tablet, in a basement or a crawl space. Nothing needs a connection once it is downloaded.

What it does not do

No GPS tracking, no route optimisation, no customer self-booking, no automatic texts or emails, no card processing, and no two people editing at once. It is the office record of the operation, not a live dispatch platform.

How a plumbing job runs

From estimate to paid in four steps.

1

Estimate it

Add the customer, then build the estimate from your price book. Use the takeoff for pipe and fittings, and print it for the customer to sign.

2

Schedule it

Accept the estimate and it becomes a job. Put it on the dispatch board with a technician, a day and an arrival window.

3

Do it and cost it

File the field report, log hours and expenses against the job, and record any change orders. Margin and health score update themselves.

4

Invoice and follow up

Raise the invoice, record the payment and see what is still owed. Callbacks and service-plan renewals show up before they are forgotten.

Why plumbers switch

You are not really choosing between two plumbing software packages.

Most plumbing software is rented by the month, and the records live on somebody else’s server. Spreadsheets are free but cannot build an estimate from a price book or keep a dispatch board.

This plumber software is a file you own, with the plumbing-specific parts built in.

The subscription column is a general description of plumbing and field service software sold by the month, not a claim about any single company — features and pricing differ, so check each site.

OwnDesk Plumbing is single-computer software: it does not sync between devices, track vehicles, send messages, read plans or process card payments.

From payment to your first estimate

Three steps, about two minutes.

1

Pay with card

Checkout runs on Stripe. Your card details never touch this site.

2

Download and open

The link appears the moment payment clears. Double-click the file — it opens in your browser, no install, no internet needed after that.

3

Look around, then start fresh

It opens with a sample plumbing company already loaded. Clear it from Settings, which keeps your company name, logo and tax rate, and add your own price book, customers and jobs.

Questions

Before you buy.

What is plumbing estimating software?
Plumbing estimating software is the tool a plumbing company builds its estimates in. The parts that matter for plumbing are a price book with your cost and your sell price for every service, part and fixture, a markup that reaches your sell price, a way to work out material quantities, tax, and a printed estimate the customer can sign. This one adds a dispatch board, job costing and invoicing, so an accepted estimate carries straight into a job.
How does the plumbing estimating software use my price book?
Each service, part or fixture in the price book has a cost and a sell price. On an estimate you choose "Add from price book" and the line arrives with your cost, the markup that lifts it to your sell price and the right line kind, such as labor, materials or subcontractor. Change a price in the price book and every new estimate uses it.
Is this plumbing takeoff software?
It is a quantity takeoff, not a plan-reading one. You choose an item from your price book, enter the feet of pipe or the number of fittings, add a waste percentage (pipe defaults to 10%, fittings to 5%) and it shows the quantity to order, rounded up to whole units, then adds the lines to the estimate. It does not measure a blueprint or read a drawing, so it will not replace a plan-based takeoff tool.
Is it plumbing scheduling software?
It has a dispatch board that lays jobs out by technician and day, each with an arrival window and a priority of standard, urgent or emergency, and a month calendar that also shows tasks, inspections, invoices due and service-plan visits. You create and move the jobs yourself. It does not optimise routes, track a truck by GPS, let customers book themselves or text a customer that the plumber is on the way.
Can it work as plumbing field service software?
For the business side of field service, yes: customers, estimates, jobs, field reports with a customer signature line, callbacks, technician hours, job costing, invoices and payments. What it cannot do is let a technician in the truck update the same record live, because there is no cloud sync. It is one computer at a time, so a cloud field service platform, and its monthly fee, is the right tool if you need that.
Is it plumbing business software I can use for a small plumbing company?
Yes. It is built for an owner-operator or a plumbing company of a few trucks: leads, estimates, jobs, service plans, permits and inspections, callbacks, safety records, technicians and their licence expiry, subcontractors, suppliers, parts stock, purchase orders, expenses, timesheets and invoices, with 25 modules in one file. There are no user accounts, so it is a one-person-at-a-time office tool.
Does it do job costing and invoicing?
Yes. Job cost comes from the expenses booked to the job plus technician hours times their rate, and the margin is the job price, including approved change orders, minus that cost. Invoices can be service, deposit, progress billing, final, change order or credit memo, and Paid, Partial and Overdue are worked out for you. Every estimate and invoice prints on your own letterhead.
Can I track permits, inspections and callbacks?
Yes. Permits record the number, type, who issued it, the inspection date, the result and the expiry, and a failed inspection raises an alert until it is re-inspected and passed. Callbacks, warranty returns and punch-list items have an owner and a due date and feed the callback rate on the dashboard.
Can it take card payments, sync with accounting software or run payroll?
No. It records payments against an invoice, by card, check, cash, transfer or financing, and shows what is still owed. The money moves through the terminal or app you already use. It exports CSV for your accountant but does not sync with accounting software, and payroll stays with your payroll provider.
Can several technicians use it at the same time?
No, and this is the honest limit worth knowing before you buy. There is no cloud sync and no shared database, so it is one computer at a time. A second office computer can work from a copy by restoring a backup file, but the two copies do not merge.
Where are my records stored, and is there a subscription?
Records live inside your browser, on your own computer, and nothing is uploaded anywhere. Settings has a backup export and, in Chrome and Edge, an automatic backup file. Keep a backup somewhere else. There is no subscription: one payment for the file, no account, no server, no monthly fee.
